The information we collect

Depending on how you interact with us, we may collect and process the following:

  • Booking and account information — the classes and appointments you book, attendance history, memberships, and any preferences or notes relating to your sessions.
  • Health and wellbeing information — where you choose to share it (for example on a health questionnaire, injury disclosure, or pre-exercise form), we may collect information about your health, fitness, and physical condition so we can deliver sessions safely. This is "special category" data and we only process it with your explicit consent and to protect your vital interests during exercise.
  • Payment information — when you pay online, your card details are collected and processed directly by our payment provider, Stripe. We do not store your full card details on our systems.
  • Technical and usage data — your IP address, browser type, device information, and how you use our website, collected through cookies and similar technologies.
  • Marketing preferences — your choices about whether you want to hear from us.

How we use your information

We use your personal data for the following purposes and on the following legal bases:

  • To provide our services — managing your bookings, memberships, and payments (legal basis: performance of a contract).
  • To keep you safe during sessions — reviewing health information you provide so classes are appropriate for you (legal basis: explicit consent and vital interests).
  • To take payment — processing transactions securely via Stripe (legal basis: performance of a contract).
  • To communicate with you — confirming bookings, sending reminders, and responding to enquiries (legal basis: performance of a contract and our legitimate interests).
  • To send marketing — where you have opted in, sending you news, offers, and updates about classes and events (legal basis: consent). You can unsubscribe at any time.
  • To improve our website and services — analysing how our site is used (legal basis: consent for non-essential cookies, and our legitimate interests).
  • To meet our legal obligations — including accounting, tax, and health and safety requirements (legal basis: legal obligation).

Who we share your information with

We do not sell your personal data. We share it only with trusted service providers who help us run our business, and only as far as necessary:

  • Squarespace — our website hosting and content platform, which stores site and customer data.
  • Acuity Scheduling (a Squarespace service) — our booking and appointment system.
  • Stripe — our payment processor for secure card transactions.
  • Email and marketing tools — the platform we use to send booking confirmations and marketing emails you have opted into.

These providers act as our data processors and are required to protect your data and use it only for the purposes we specify. Some may process data outside the UK; where they do, we rely on appropriate safeguards such as UK-approved standard contractual clauses or adequacy regulations.

We may also disclose your information where required by law, or to protect our rights, property, or safety.

Cookies

Our website uses cookies and similar technologies to make the site work, remember your preferences, and understand how visitors use it. Essential cookies are necessary for the site to function. Non-essential cookies (such as analytics) are only used where you have given consent. You can manage your cookie preferences through your browser settings or any cookie banner shown on our site.

CCTV

CCTV is in operation at our studio. Aurae Reformer is the Data Controller for this CCTV system.

We record images for the safety of our clients, instructors and staff, for the security of our premises and equipment, and for the prevention and detection of crime. No audio is recorded, and there are no cameras in changing areas or toilets.

You have the right to request access to footage of yourself. To do so, to see our full CCTV Policy, or for any questions about how we use CCTV, please contact amy@auraereformer.co.uk. If you have concerns about how we handle CCTV images, you also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

How long we keep your information

We keep your personal data only for as long as necessary for the purposes set out above. Booking, membership, and financial records are typically retained for up to six years to meet accounting and legal requirements. Marketing data is kept until you unsubscribe or ask us to delete it. Health information is kept only for as long as you remain an active client, unless we are required to keep it longer.

Your rights

Under UK data protection law you have the right to:

  • Access the personal data we hold about you.
  • Ask us to correct inaccurate or incomplete data.
  • Ask us to delete your data in certain circumstances.
  • Object to, or ask us to restrict, our processing of your data.

We use appropriate technical and organisational measures to keep your data secure, and we work only with reputable providers (such as Squarespace and Stripe) that maintain strong security standards. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

We may update this policy from time to time. Any changes will be posted on this page with a revised "last updated" date.
